
Engineering Success: The Systems You Need to Get to the Next Level

If you're a Managed Service Provider (MSP) owner, you know the grind. You're constantly maintaining—addressing the break/fix model, managing your PSA, and in general keeping the lights on. But are you truly producing the results that will take you to the next level?
The journey from a maintenance mindset to a production machine requires a clear blueprint and the right set of tools. It requires what I call The Business Strategy Lifecycle —a pragmatic, systems-based approach to growth. Let's break down the essential components you need to build that foundation.
1. The Strategy Blueprint: Business Strategy Meets Agile Execution
A strategy that works isn't a vague wish; it's an actionable plan. Too many entrepreneurs create a strategy, put it in a binder, and hope for the best. That's a great way to have a bonfire of cash. You need a system that forces discipline and execution.
In the software world, there is a project management methodology known as Agile. It's time to bring that same methodology to your entire Business Strategy.

- The Concept: Your business strategy—from marketing to finance to operations—is laid out on a customized agile project board. This isn't just a list of to-dos; it's a dynamic visual of your roadmap and strategy.
- Pragmatic Application: The beauty of this system is that it breaks down complex long-range goals into their simplest elements, making it easier to act on them in the most efficient way possible. This is how you execute your blueprint with surgical precision and continuous incremental improvement. It’s about a relentless focus on execution.

Strategy is the blueprint, but a strong, intentionally cultivated culture plus the right team are the glue that holds the strategy together. You can have the best strategy on paper, but if you don't have the right people in the right seats, you'll never execute it. It's that simple.

The People Process is one of the most critical systems in your business machine. Unless you want to spend all your time cleaning up messes, you must have the right people working for you in the right positions.
- Hiring with a System: Your process must cover every part of the people flow, from strategically crafting a quality position posting to managing the selection and hiring process. This isn't just about vetting technical skills; it's about making sure the candidates' core values align with your company’s culture and compass.
- The Evaluation Program: Once they are on the team, you need a system for growth. That means a quality employee evaluation program that incorporates all the critical points of top performance goal setting, training and skill advancement, and specific performance items. What gets measured, gets done.
3. The Discipline of Focus: Project Process
A common failure point for MSPs is losing control of time, energy, and resources once a project is underway.
Project Training and Retrospectives
To move your company's profit center clearly to the Project side, you need to ensure repeatability and reproducibility. That means having full control of your project lifecycle—from Quote, Description, and Scope to the crucial step of the Retrospective.
- Systematize Your Process: Your Sales team and Engineers must work together to define and document their project process at every level. When you have the right processes driving your projects, you stop treating every new engagement like an improvised disaster, and you gain the control necessary to consistently shift your profit center.
4. Focused on Finance: Review and Revise
As the owner or leader, time spent focusing on both short and long-term goals and landmarks provides an important perspective. You need a consistent, disciplined process for finance to give it the attention it deserves.
- The Review Process: This discipline requires you to consistently review and adjust your monthly, quarterly, and annual finance goals. You must specifically discuss accounts and roadblocks as needed to make the right adjustments and plan the right actions for the coming weeks. You can’t navigate the ship if you don’t know your heading.

Taking on new tools, learning new concepts, or shifting core competencies often requires dedicated training to bring your team up to speed.
- Focused Development: To ensure true success, your organization must consistently put together focused training sessions for individuals, teams, or the entire organization. This is how you ensure that when you launch a new strategy or process, the entire team is equipped and unified to execute the mission successfully.

You don't have to build your empire alone. In fact, one of the greatest significant competitive advantages you can cultivate is a network of peers who are also on a journey to the next level.
The Necessity of Peer and Mastermind Systems
These groups are not just networking events. When done right, they are intentionally cultivated systems of support, accountability, and real-world brainstorming.
- Industry Peers (The Peer Group Model): A successful peer group is comprised of entrepreneurs and leaders who are largely from the same industry. Here's the kicker: You're meeting with people who are experiencing exactly the same problems you are. When the core issues are shared, the counsel is immediately actionable. These partnerships are crucial to your success.
- Supportive Colleagues (The Mastermind Model): A true mastermind group is a community of supportive colleagues willing to brainstorm without reserve. Every participant gives feedback, helps brainstorm new possibilities, and sets accountability structures that will keep everyone focused and on their individual success path. When you are held accountable by people who understand your world, discipline becomes a collective reality.
7. The Path Forward: Execution is Everything
The path to the next level is an ongoing, step-by-step process—the way of the turtle, not a single leap. It all comes down to execution. Your systems are your new foundation, and discipline is the fuel. Remember: sustainable business success is achieved by executing a well-designed blueprint. If you clarify your business identity, build out your roadmap and strategy for success, and then relentlessly execute on those plans, you will produce the results you are seeking.
